At Hi-tech Aircool Engineers, we understand that inviting a technician into your home or business requires trust. Whether you are in Vadodara, Rajkot, or the industrial hubs of GIDC, our goal is not just to fix your AC or refrigeration unit, but to ensure your system runs at peak efficiency.

This Refund and Cancellation Policy is drafted in strict accordance with the Consumer Protection Act, 2019 (India). However, we go beyond legal requirements. We believe in "Service with Integrity." If our workmanship is flawed, or if a spare part fails prematurely, we stand by our work to make it right.

30-Day Service Warranty: Unlike aggregators who disappear after the job, we offer a dedicated 30-day labor warranty on all repairs. If the same issue persists, we fix it for free.

2. Key Definitions

To ensure total clarity regarding your rights and our obligations, we define the following terms used throughout this agreement:

  • "The Company" refers to Hi-tech Aircool Engineers (Hiaircon Engineers Pvt Ltd) and its authorized technicians.
  • "The Client" refers to the individual or business entity requesting the service at the registered address (e.g., Vadodara, Gujarat - 390005).
  • "Service" implies HVAC repair, installation, maintenance, gas charging, or consultation provided by our team.
  • "Spare Parts" refers to physical components (Compressors, PCBs, Capacitors, etc.) installed during the service.
  • "Force Majeure" refers to uncontrollable events (e.g., floods in Gujarat, strikes, pandemics) that may delay refunds or services.

3. Service Cancellation Policy

We value your time and ours. Our cancellation terms are designed to be fair to local technicians who travel across the city to serve you.

3.1 Cancellation Before Dispatch

If you cancel your booking at least 2 hours before the scheduled appointment time:

  • Refund Status: 100% Refund of any advance paid.
  • Cancellation Fee: ₹0 (Free).

3.2 Cancellation On/After Arrival

If our technician has already reached your location (e.g., Alkapuri, Manjalpur, or remote GIDC areas) and you decide to cancel:

  • Visiting Charges: The minimum visiting charge (typically ₹199 - ₹299 depending on distance) will be deducted or payable.
  • Reason: This covers the fuel and travel time of our workforce.

3.3 Rescheduling

Rescheduling is always free if done 1 hour prior to the slot. We understand emergencies happen.

4. Refund Eligibility Matrix

5. Spare Parts & Warranty Terms

Hi-tech Aircool Engineers uses only genuine OEM parts. However, electronics can be unpredictable. Here is how we handle part failures:

5.1 Manufacturer Warranty

For major components like Compressors (typically 5-10 years) and PCBs (1 year), the warranty is honored by the manufacturer (e.g., Daikin, Voltas, LG). We facilitate the claim process for you, but we do not issue cash refunds for the part value once installed.

5.2 Non-Returnable Items

Once installed and tested, the following items cannot be returned or refunded due to their consumable nature:

  • Refrigerant Gas (R32, R410A, R22)
  • Copper Piping (once cut to size)
  • Insulation Material
  • Capacitors (once energized)

6. AMC Refund & Termination

For our commercial and residential clients in Gujarat holding an Annual Maintenance Contract:

Pro-Rata Refunds: If you wish to cancel your AMC mid-term, we will calculate the refund based on:

(Total Contract Value) - (Cost of Services Already Rendered at Non-AMC rates) - (10% Administration Fee) = Refund Amount.

Note: If the cost of services already utilized exceeds the AMC payment, no refund will be issued.

7. The Refund Process (Step-by-Step)

We have streamlined our process to be hassle-free.

  1. Raise a Ticket: Contact us via WhatsApp (+91 93289 53665) or Email (hello@hitechairconditioning.in) within 48 hours of the service.
  2. Inspection: Our Senior Supervisor will visit (or request video evidence) to verify the issue.
  3. Approval: If the claim is valid (e.g., technician error or deficiency), a refund or free re-service is approved.
  4. Disbursement: Approved refunds are processed within 5-7 business days to your original payment method (UPI, Credit Card, or Bank Transfer).

How long does it take to get a refund for a cancelled AC service?

Once approved, refunds are initiated within 24 hours. Depending on your bank, it typically takes 5 to 7 business days for the amount to reflect in your account.

Do you refund the visiting charge if the technician cannot fix the AC?

Yes. If our technician inspects your unit and declares it "unrepairable" or if we lack the technical capability to fix it, we waive the visiting charge. However, if the unit is repairable but you choose not to proceed with the quote, the visiting charge applies.

What happens if my AC starts leaking water again after repair?

We offer a 30-day service warranty. If the same problem (water leakage) recurs within 30 days of our service, we will fix it again for FREE. No questions asked.
